We are a hub of knowledge and innovation, attracting healthcare professionals who are passionate about pushing boundaries and making significant contributions to the field.About Department and Purpose of the PositionThe National University Cancer Institute, Singapore (NCIS) is a national specialist centre under the National University Health System (NUHS). It is the only public cancer centre in Singapore treating both paediatric and adult cancers in one facility.We are seeking a dedicated Senior Executive Assistant or Associate Executive to provide logistic, procurement, inventorial and administrative support for the Stem Cell Laboratory.Key ResponsibilitiesPrimary Responsibilities and Duties (80%)
  • Perform stock take, logistics and inventory management of lab supplies and reagents, as well as top-up.
  • Execute the full process of loaning of equipment and requisitioning of equipment, supplies, reagents, consumables, stationery and etc., once balance of items is below par.
  • Perform billing to external client for service rendered, internal cost transfer to internal departments and billing to patients.
  • Perform bill audit quarterly and bill adjustment when needed.
  • Payment to external parties/vendors within payment term period.
  • Create and maintain updated records for contracts/agreements, lab inventories, fixed asset requisitions, purchase requisitions, work requisitions and approval papers submitted for review and approval process.
  • Perform sorting, filing, scanning, photocopying and recording of documents and forms, and maintain filing system.
  • Tracking of CAPEX/OPEX budget, staff training budget and other NUH-related funds.
Secondary Responsibilities and Duties (20%)
  • Collect and dispatch documents or mails from/to areas within hospital premises.
  • Check letterbox weekly for letters & passed to respective person immediately &/or action taken accordingly.
  • Co-ordinate meetings, book venues, collate agenda and arrange for catering requirements when necessary.
  • Back up personnel to training representative of Stem Cell Lab in maintaining training records of the lab and informing staff of training activities, where required.
  • Attending to admin related maintenance/service issues (example but not limited to printer, copier issues, light issue) of the SCL promptly.
  • Provide other administrative support to the laboratory and/or RO to ensure smooth daily operations and provide required support to meet assigned project/task timeline.
  • Performs any other duties assigned by supervisor/ department manager/ HOD.
Key Requirements
  • Minimum Diploma holder
  • Minimum of 2 years' experience in procurement/logistics, and administrative experience (lab experience will be advantageous)
  • Good understanding of accounting and figures
  • Proficient in Microsoft Office applications (Word, Excel, and Powerpoint)
  • Responsive, attentive, and able to perform under pressure
  • Positive, self-motivated, flexible, and adaptable
  • Good communication and interpersonal skills
  • Good team player and able to work independently
