
Senior Facilities Coordinator

- Provide superior customer service by maintaining constant communication with the team to achieve key performance metrics and service level agreements while managing conflict and conflicting priorities effectively
- Assist in coordination and management of Post-Occupancy Projects (POP), prioritizing and managing project completion in an efficient and timely manner while providing administrative support
- Manage contractor relationships on site to ensure performance meets required standards, including inspecting vendors' works and coordinating procurement and vendor engagements
- Support financial processes to ensure all financial management requirements are completed accurately and timely, including managing POP-related financial aspects
- Conduct regular health and safety audits to ensure safety procedures are in place and working while conducting site inspections to maintain building procedures and performance measures
- Maintain premises in neat and good working condition while coordinating pantry staff, managing meeting room bookings, and providing receptionist coverage as needed
- Seek opportunities to constantly reduce costs and improve operational standards while implementing industry best practice operations
- Prior experience in facilities management, property management, hospitality, or related field
- Proven ability to manage multiple and complex operational matters on a daily basis with strong organizational skills
- Excellent communication skills including strong verbal and written abilities in English and local language
- Demonstrated customer service orientation with ability to interact effectively with clients and vendors
- Strong problem-solving skills with capacity to deal with ambiguity and solve complex problems effectively
- Self-motivated, confident, and energetic personality with ability to work independently
- Flexibility to adapt to rapidly changing situations while maintaining focus on performance targets
- Knowledge of local occupational health and safety requirements and critical facilities management
- Understanding of basic technical aspects of property systems (Computer Room Air-conditioning, Chiller systems, Fire Protection, Mechanical & Electrical, BMS systems)
- Experience with vendor management for specialized services
- Background in project coordination and administrative support for facilities operations
- Experience with procurement processes and financial management in facilities environments
- Knowledge of Post-Occupancy Project (POP) coordination and implementation
- Familiarity with meeting room management systems and office support services
