Job Description:As an Admin Assistant, you will assist in the administrative duties of the Home. These include duties pertaining to Operations, HR, Accounts and other ad-hoc tasks. This role requires the person to be meticulous, organised, and helpful. You will be working closely with staff from other departments and disciplines to ensure smooth day-to-day operations of the Home.Duties and Responsibilities
Answering telephone and transferring calls appropriately
Attending to external parties and redirecting them accordingly
Receiving, recording, and issuing of receipts for donations and nursing fees
Routine updating and filing of staff and operational registries, including whiteboard charts, training records, and muster lists
Maintaining office stationary, supplies, and filing cabinets in good order
Tracking of fixed assets and assets tagging
Scheduling and Minute writing
Assist in Accounts-related functions, including Updating of receipt vouchers, Preparing reimbursement claims, Conducting bank runs etc.
Assist in HR-related functions, including Plotting of rosters into e-Systems, Verifying overtime claims, Tracking of staff work permit renewals and medical check-ups, Upkeeping of foreign staff P-files, etc.
General Clerical responsibilities
Any other duties as assigned by Superintendent and Assistant SuperintendentQualifications:
Minimum GCE ‘N', ‘O' level or equivalent
Other Information:
Post-secondary education/certification in related disciplines would be advantageous
