- Assist in the end-to-end recruitment process including job advertisements, interview arrangements, and candidate coordination
- Support onboarding and offboarding processes including employment documentation and orientation scheduling and exit formalities
- Administer work pass applications, renewals, and ensure compliance with MOM regulations
- Maintain and update accurate HR records, employee files, and HR databases
- Support leave management, medical and insurance claims, and employee benefits administration
- Coordinate training activities including scheduling, registration, tracking and maintaining training records
- Assist in planning and organizing staff engagement activities, welfare events, and company activities
- Monitor and manage office supplies and stationery to ensure adequate stock levels; handle procurement as needed
- Oversee vendor management, including sourcing, comparing quotations, negotiating terms, and coordinating office-related services and maintenance
- Liaise with external service providers for facility upkeep, equipment servicing, repairs, and courier arrangements
- Ensure the smooth day-to-day functioning of office operations, including maintaining office cleanliness, coordinating courier services, and preparing meeting rooms
- Support administrative documentation processes, including accurate filing, scanning, packing, and record archiving
- Perform precise data entry and provide general administrative support to the team
- Assist the Manager with various ad-hoc HR and administrative duties as assigned
- Diploma in Human Resource Management, Business Administration, or related discipline
- Minimum 1 year of relevant experience preferred (internship experience will be considered); 2–3 years for Junior Executive level
- Proficient in Microsoft Office applications, especially Excel (e.g. VLOOKUP, PivotTables)
- Strong organizational and time management skills, with attention to detail
- Positive attitude, team-oriented, proactive to handle tasks efficiently
- High level of integrity, discretion, and ability to handle confidential information
- Strong willingness to learn, adapt, take initiative, and grow professionally
- Excellent interpersonal and communication skills
- Comfortable supporting both HR and administrative duties
- Able to commence work immediately or within short notice
