Job Purpose:The Senior Executive/ Assistant Manager will be responsible for providing operational and administrative support to the Multi-Disciplinary Team Support for KidSTART Programme (MDT KidSTART) under National University Centre for Women & Children (NUWoC). This will involve overseeing the setup, review and running of the programme, facilitating coordination and communication between NUH and KidSTART Singapore Limited (KSL), as well as with the partners in the community.Primary Duties and Responsibilities:
  • Oversees operations and administrative support duties for MDT KidSTART including workflow planning and timeline management.
  • Serves as a primary point of contact and liaison for NUH KidSTART MDT team with other officers, individuals and external institutions and agencies.
  • Supports data entry, collation and analysis when required, and maintenance of the database for NUH KidSTART MDT.
Evaluates processes, contributes ideas and suggestions for improvement of work processes.Assist in organizing and facilitating meetings, conferences, and other events associated with the programme activities in line with all programme objectives.Supports internal/ external audits as per programme funding requirements.Ensures accurate and timely disbursement or reimbursement of funds internally within NUH and with external parties for the programme.Liaise with internal stakeholders to setup, review, and troubleshoot workflow to facilitate the smooth running of the programme to achieve established goals and targets.Able to follow-up promptly on any ground issues by communicating effectively with stakeholders to resolve problems.Regular data tracking for reporting to both internal and external stakeholders such as such as NUH NUWoC management and KSL.System thinking mindset, ability to presenting information in clear manner to monitor progress and key performance indicators.Secretariate and administrative support include meeting agenda planning, minutes recording and dissemination in timely manner.Ability to coordinate annual audit activities effectively. * Liaise with internal and external finance to ensure smooth flow of funds as directed by MDT KidSTART programme leadSecondary Duties and Responsibilities:
  • Provides ad-hoc support to publicity events organized by department and partners.
  • Close liaising with Publicity team when necessary.
