- To be the central point of contact & deal with travel agency, hotel account manager and courier account manager in terms of contracts, rates, billing, group booking etc.
- To maintain electronic and hard copy filing system and ensure quick and efficient retrieval of files and documents.
- To collate & present reports: Ad-hoc reports, presentations as and when required by corporate office or local management.
- To maintain Commercial Director’s leave absence and notify all managers her out of office schedule.
- To administer time & travel management and DFM invoices approval on behalf of Commercial Director for all her direct reports.
- To assist Commercial Director in all claims and personal travel arrangements.
- To assist in Company events such as Warehouse sale, CNY sale etc.
- To assist in preparing for the annual trade presentation meetings.
- To be the central point of contact with printers for orders of Company envelopes, letterheads, name cards, printing paper etc.
- To be the key user for Indirect Procurement to support Sales, IT, Finance and HR Team.
- To be responsible for tracking, reporting & analysing all CRM activities.
- To be the central point of contact with vendors on office maintenance requirements such as security alarm & CCTV & quarterly carpet cleaning etc.
- To be the central point of contact with the landlord of our office regarding issues with visitors, dissemination of information etc.
- To guide and supervise receptionist in her job scope: travel & hotel booking, mail sorting, maintaining of phone directory, processing of invoices, staff recreation planning etc.
- To supervise cleaner’s job scope.
- To perform any other duties that may be assigned from time to time.
