- Act as an all-around gatekeeper and strategically manage the leader's time through effective professional and personal scheduling with respect to priorities, goals, and objectives.
- Coordinate complex scheduling and prepare for all types of meetings, including executive team meetings, board meetings, C-level meetings, and client meetings.
- Be present at and take notes for all meetings for the leader
- Assist to prepare presentation decks as needed
- Help execute a varying range of projects. Create well-organized project timelines & reporting that would keep crucial projects on track for completion by the target deadline date. Think of this as an opportunity to truly own a project from start to finish and highlight your impeccable project management skills.
- Work cross-functionally with internal & external stakeholders for any events and be ready to think on your toes when issues or event emergencies arise.
- Assist with miscellaneous special projects or duties as needed.
- Assist with administrative matters including but not limited to the preparation of documents, leave and expense reports, invoice processing and tracking of payments.
- Prepare, draft, proofread and execute accurate business correspondence using good communication skills.
- Monitor inbox, streamline e-mail communications, and keep your Executive's inbox organized in a way that works best for productivity.
- Manage all business travel in an appropriate seamless manner.
- At least 5 years of relevant experience
- Ability to maintain professionalism and strict confidentiality of all information
- A detail-oriented, resourceful, can-do attitude
- Ability to multi-task, prioritize and make right decisions in a proactive manner.
- Excellent team playing skills and relationship building.
- Excellent stakeholder management skills
- Good written and verbal communication skills
- In-depth understanding of entire MS Office suite
