
Senior Administrative Assistant

- Provide secretarial and administrative support to the Managing Director and the team
- Manage complex and detailed calendars, dealing with multiples and/or urgent meeting conflicts, coordinate meetings and calls, internally and externally (eg global and regional internal team meetings, investment committee meetings, etc) across global time zones
- Responsible for business travel, coordinating complex travel logistics and preparing detailed itineraries, required travel visas/documents for the team
- Prepare reports, meeting agendas and follow-ups with the team and other stakeholders, track deadlines and team requests.
- Handle document management including specific filings and archiving
- Working closely with assistants internally and external partners, maintaining cordial business relationships
- Provide back-up coverage for other senior administrative assistants when required
- Deliver general support and handle ad hoc tasks as needed,
- Strong interpersonal skills with the ability to interface effectively with a wide variety internal stake holders and external partners,
- Team player with excellent collaboration skills in an international environment
- Ability to adopt a proactive approach and understand the nature of the business and priorities within the team while maintaining a high level of discretion, professionalism and exceptional attention to detail
- Able to thrive in a fast paced and dynamic environment with a lean office setting
- Diploma in any discipline
- Minimum 8 years of relevant experience as an EA or a similar role within the financial or professional services industry
- An equivalent combination of education and experience will be considered.
- Proficient in Windows 365 Collaboration tools like Microsoft Teams, Word, Excel, Outlook, OneDrive, Sharepoint
- Experience using Concur preferred
- Excellent written and verbal communication skills
- Ability to adapt procedures and processes to the completion of tasks
- Excellent proficiency of English, spoken and written. Strong knowledge of French a plus
- Singapore Citizen or PR preferred
