We are looking for suitable candidates to join our Technology Group as a Business Operations Administrator on a contract basis for a duration of 1 year.What will you do as an Associate, Business Operations Administrator?
- Vendor Administration and Records Management
- Facilitate the efficient onboarding, offboarding and renewal processes for vendors in alignment with GIC's Vendor Staff Management process.
- Track and update the hiring status of vendors, ensuring timely and accurate submission of Purchase Requests.
- Create and maintain accurate vendor records in GIC's Vendor Staff Management System.
- Support management reporting by extracting vendor statistics and performing basic analysis to provide actionable insights.
- Seat Administration
- Manage the assignment of staff seats and lockers, ensuring accurate and up-to-date records in the seat assignment tracker.
- Coordinate and facilitate logistics for seat relocation plans, ensuring a smooth transition for all affected personnel.
- General coordination and administration
- Coordinate and submit Purchase Requests for TG-wide procurement needs, including training events and software subscriptions.
- Support the IT asset disposal process in compliance with organizational procedures.
- Collect and collate data, generate polls, and ensure timely follow-ups and reminders as required.
- Purchase, distribute, and track prizes for TG awards, maintaining accurate records for audit and reporting purposes.
- Minimum 6 years of working experience in administration or support functions.
- Minimum degree holder preferably with experience handling project or program administrative work for multiple tech projects.
- Familiar in using Microsoft tools and strong organization skills with a problem-solving attitude.
- Meticulous, detail-oriented and ability to prioritize tasks and manage datelines.
- Demonstrate initiative to review and improve existing processes and operations.
- Ability to multi-task, work well under pressure and work independently with minimal supervision.
- Prior experience in navigating and excelling in rapidly changing work environments is a significant plus.
