- Assisting to develop, maintain and update the meeting schedule to ensure timely organisation of events.
- Reserve meeting rooms and gather agendas to facilitate productive discussions.
- Coordinate Organisational Development (OD) engagements by managing logistics and ensuring seamless execution.
- Collaborate with stakeholders to understand event objectives and target audiences and propose innovative ideas to enhance attendee experience and engagement.
- Source and liaise with various vendors (e.g., catering, event planners).
- Conduct regular inventories of office resources, including workstations, lockers, and cabinets.
- Maintain and update records of availability and allocation of workplace assets.
- Assist to collect and organise project-related data from various sources and assist in data entry and maintenance of programme databases
- Generate and consolidate monthly financial reports, ensuring accuracy and timely submission to the existing EVP dashboard for tracking and analysis.
- Assist in managing AOB tasks to address ad-hoc operational needs and team requirements.
- Assist with general office duties to ensure smooth operation of the Programme Planning Office, and Enterprise Group.
- Minimum Diploma or equivalent qualification in Business Administration or a related field.
- Experience in Government sector with finance reporting or resource management would be an advantage.
- Organisational skills: Ability to manage multiple tasks, schedules, and priorities efficiently.
- Proficient in MS Office: Skilled in Word, Excel, PowerPoint, Outlook, and familiar with scheduling and financial reporting tools.
- Communication skills: Strong written and verbal communication skills to interact with stakeholders and coordinate effectively.
- Attention to details: High accuracy in tasks like stocktaking, report generation, and meeting coordination.
- Problem-solving abilities: Resourceful and capable of handling minor operational challenges independently.
