Business Function:Group Technology and Operations (T&O) enables and empowers the bank with an efficient, nimble and resilient infrastructure through a strategic focus on productivity, quality & control, technology, people capability and innovation. In Group T&O, we manage the majority of the Bank's operational processes and inspire to delight our business partners through our multiple banking delivery channels.Responsibilities
  • Provide effective secretarial and administrative support to the Managing Director
  • Organise and coordinate Managing Director and department meetings; Provide logistical support for all meetings, conference calls, and events
  • Facilitate, prioritise and manage calendar/ schedule to ensure smooth arrangements of appointments and activities.
  • Prepare meeting agendas and materials; Ensure timely distribution of materials prior to all meetings
  • Follow-up with action items discussed during meetings
  • Provide travel support including VISA application, travel claims, maintaining travel records, preparing itineraries and managing meeting schedules for overseas trips
  • Read and analyse emails and reports to determine their significance and distribute to relevant stakeholders accordingly
  • Receive and screen visitors and incoming calls in a professional and friendly manner
  • Assist in related projects, liaising with internal and external stakeholders, including coordinating and managing the logistics for offsite meetings and conferences
  • Ensure that the latest management reports are uploaded and provided to the Managing Director
  • Leverage cross-team engagement for enhanced department communication and co-ordination
  • Assist in departmental technology – for example establish and update sharepoints, distribution groups, Intranet etc
  • Provide expertise to enhance powerpoint presentations and spreadsheets for better communication / use
Requirements
  • Minimum Diploma holder, with at least 5 years of secretarial and administrative experience. Experience working with senior management is preferred
  • Independent, strong planning and organisation skills, meticulous and ability to multi task while working under pressure
  • Good time-management skills with ability to prioritise tasks assigned
  • Effective listening, communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Highly proficient in all Microsoft applications (Excel, Word and Powerpoint) related systems
