We are looking for a highly organized and proactive Project (Admin) Assistant to join our client in providing essential administrative support to our Project Managers. This role is key to ensuring smooth project execution and efficient handling of commissioning activities from start to finish.Responsibilities:
- Support managers in tracking project schedules, deliverables, deadlines, and outstanding actions.
- Manage commissioning and service order processes, including quotations, approvals, and invoicing.
- Assist in scheduling manpower mobilization and handle all related administrative documentation such as visa applications, permits, safety inductions, certifications, flight bookings, and accommodations.
- Consolidate and maintain accurate timesheets from project sites using spreadsheets and databases.
- Prepare detailed packing lists for materials needed on-site.
- Record meeting minutes and generate comprehensive status reports for project stakeholders.
- Provide general administrative support to the project team as required.
- Diploma or relevant qualification in any related discipline with min 4 yrs & above experience supporting project management or administrative functions
- Advanced proficiency in MS Excel (including formulas, pivot tables, and data analysis) and MS Access for database management
- Strong organizational and communication skills with keen attention to details and accuracy.
- Excellent time management skills with the ability to prioritize and meet deadlines.
- Adaptable and comfortable working in dynamic environments with shifting priorities.
