
Admin Assistant, Disney Cruise Line

- Prepare executive-level presentations, letters, spreadsheets, agendas, meeting materials, and departmental communications
- Provide direct administrative support including managing complex calendars, meetings, travel arrangements, and expense reports
- Provide administrative support to the Director of Hotel Operations and Entertainment Operations during their on-site engagements in Singapore or aboard Disney Adventure
- Serve as the primary point of contact for all office administrative responsibilities including phones, supplies, onboarding logistics, and correspondence
- Manage logistics for consultants including travel, payments, and contractual obligations
- Liaise with Immigration Compliance, and input/manage visitor/vendor information in systems such as SSG, SVAM, IRGS
- Support onboarding, transfers, and separation processes for new and current cast/crew
- Maintain company vehicle schedules and coordinate procurement needs (laptops, phones, etc.)
- Provide backup support for department coordination during emergency procedures and act as the Record Information Management (RIM) Coordinator
- Assist with event planning, event setup, and package receiving as needed
- Exercise sound judgment in prioritizing tasks and anticipating the needs of leaders and team members
- Partner with Operations Assistants across the fleet, contributing to ongoing process improvements
- Handle special tasks and high-priority projects as requested
- Manage all responsibilities with the highest level of discretion and confidentiality
- Minimum 5 years of experience supporting business executives in large organizations
- Strong organizational and multitasking skills with extreme attention to detail
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Familiarity with SAP
- Demonstrated ability to navigate complex schedules, prioritize independently, and remain flexible under pressure
- Excellent verbal and written communication skills
- Proven interpersonal and consultative skills with a collaborative, positive approach
- Ability to manage multiple ongoing projects with efficiency and professionalism
- High degree of discretion in handling sensitive and confidential matters
- Passion for providing exceptional service to both internal teams and guests
- Required: High school diploma or equivalent work experience
- Preferred: Bachelor’s degree
