- Handle general office tasks, including mail, errands, and phone management.
- Schedule meetings, maintain office space, order supplies. Coordinate and negotiate with office service provider.
- Perform administrative duties, including data input and printer maintenance. Organize and maintain files and records, and office supplies.
- Manage office operations, budget, and vendor contracts.
- Support onboarding, liaise with Tokyo office, and coordinate facility management.
- Provide support with recruitment, onboarding, employee relations, and other HR-related tasks.
- Working with Accounts for daily bookkeeping of office income and expenses.
- Establish and implement procedures and policies to improve efficiency, ensure compliance with regulations.
- Organize events, translate documents, and handle additional office duties as required.
- At least 5 years of experience in general office administration with knowledge of systems and procedures.
- Bilingual in Japanese and English are preferable because this position is required to liaise with Japanese natives.
- Proficient in MS Office and familiar with email scheduling tools.
- Excellent in time management, multitasking, and prioritizing tasks.
- Strong attention to detail and problem-solving abilities.
- Organized and capable of working in a fast-paced environment.
- Creative with a knack for suggesting improvements.
