- Serve as the primary administrator for the CSO mailbox, prioritising tasks, archiving communications, and ensuring timely responses to school queries.
- Prepare, format, and distribute user detail files to school Heads of Department (HODs) and manage the subsequent reminder schedule.
- Meticulously check returned user details for accuracy, generate upload files, and address any missing information directly with schools.
- Perform data uploads to the SSOE portal, generate rollout lists, and update the provisioning tracker on SharePoint, notifying relevant teams.
- Manage ad-hoc profile updates and custodian/location changes by regenerating necessary files and coordinating with admin teams.
- Proactively monitor system processes, alerting portal and automation teams to any issues with purchase orders or email alerts.
- Asset Operations Management
- Administer the Asset team's mailbox, responding to queries and requests in a timely manner.
- Manage the end-to-end process for non-imaged devices, including sending rollout lists, distributing asset tags, and following up on pending returns.
- Validate and upload returned rollout lists to the portal, ensuring data integrity (no duplicates) and updating device status to "deployed."
- Maintain the master asset list on SharePoint, managing the entire lifecycle of project-issued devices (notebooks, monitors), including assignment, transfer, handover, and return.
- Lead the offboarding process for staff, ensuring the return of all company assets and confirming their retrieval.
- Facilitate the onboarding of new devices by coordinating with Finance for asset tags and creating records in the asset database.
- Raise and manage requests for device transfer and disposal through the CAMS system, following up until completion.
- Generate, download, and upload key operational reports (e.g., patching, print+) to SharePoint on a weekly and monthly basis.
- Act as a point of contact (POC) and mentor for asset interns, providing training, task guidance, and formal feedback on their performance.
- Manage inventory and procure operational supplies, such as envelopes, as needed.
- Provide guidance and support to new team members, sharing knowledge and best practices to ensure team success.
- Conduct a yearly stocktake of all project loan devices.
- Proven experience in operations, administrative support, or asset management role.
- Exceptional attention to detail and methodical approaches to data validation and file management.
- High proficiency in Microsoft Office Suite (especially Excel) and experience working with SharePoint.
- Experience with data entry, portal administration, and working with ticketing systems (e.g., CAMS, ServiceNow) is highly desirable.
- Strong written and verbal communication skills, with experience in customer-facing correspondence.
- Excellent organisational and time-management skills, with the ability to prioritise a high volume of daily tasks alongside ad-hoc requests
