- Handle intensive and complex calendar management, working with direct reports to organise and coordinate all meetings, events, conferences, off-site appointments, and relevant logistics.
- Prepare, format, and review all meeting materials for the team, such as Word documents, Excel spreadsheets, and Powerpoints
- Arrange travel schedules comprehensively, including detailed travel plans and itineraries, necessary travel documentation, accommodations, and visas.
- Communicate and correspond with all internal and external teams, departments, and relevant stakeholders
- Process invoices and billing reports and submit claims and reimbursements
- Proven total experience of 10-15 years as an Executive Assistant and at least 5 years as an Executive Assistant supporting the top leadership of a large international firm.
- Extensive and highly complex calendar and global travel management across time zones.
- Demonstrable experience in the private equity/ investment services industry is advantageous
- Exceptional sense of ownership and accountability - availability to support and connect with stakeholders round the clock highly preferred.
- Excellent command of English and communication skills
- Consistent attention to detail and strong organisational skills
- Exemplary interpersonal skills and discretion to manage private and confidential information
